Only approved templates are listed. Need a new one? Write it in Templates.
A/B test: try a second template optional
Part of the people get template A (above), the rest get template B. History then shows which one got more reads and link taps. Nobody gets both.
“First name from sheet” gives each person their own name from the Name column. People with no name get “there”.

Drip sequences
A sequence sends a series of templates to everyone who joins a list, on a timetable. Example: welcome right away, reminder 1 day later, replay link 3 days later. Only people who join after you switch it on get it, and nobody gets the same template twice.
New sequence
Checked every 5 minutes, so a message can go out up to 5 minutes after it’s due.
Conversations
Replies people send to your WhatsApp number appear here. Updates every 15 seconds.
Auto-replies
fees, price, cost.Auto-replies never answer STOP / START messages or a “Stop promotions” tap. If you later switch on the AI chatbot for this number, turn these off so people don’t get two answers.
AI bot on your number
OffWhen on, the AI answers people’s questions by itself, using only your AI assistant notes, quick replies and auto-replies. When someone wants a person, has paid, has a payment problem or asks a medical safety question, it tells them the team will message them, posts the details in your Automation alert WhatsApp group, and stays quiet for that person until you click Mark resolved. It also stays quiet for 12 hours once anyone from the team types a reply. People who reply STOP get a kind confirmation (and can say it was a mistake to get updates again). Menu taps, keyword replies and the welcome message still go first.
A safety limit so one chat can never run away (spam, or two bots answering each other). 50 is plenty for a real conversation.
💬 Fees and the Thursday webinar: the AI answers everyone right away. From Sunday until Thursday 6 PM, if someone asks the fee it invites them to the free Thursday 6 PM webinar on Zoom, where the special fee is announced. From Thursday 6 PM to Saturday it shares the fee from your AI assistant notes.
While numbers are listed here, the AI bot replies only to them and nobody else. Clear the box to let it reply to everyone.
Replies come from the AVISA chatbot workflow in n8n, using your AI assistant notes. They show in the Inbox as “Auto-reply”. When it hands a chat to the team, it stays quiet for that person until you click Mark resolved on the chat. Put your own number in “Test first” before switching it on for everyone.
Quick replies
for the InboxSaved answers your team inserts with one click, e.g. fees, timings, Zoom link.

Assigning chats
AI assistant notes
for ✨ suggested replies and the AI botWhat the AI may tell people: programs, fees, timings, batch dates, venue, links, refund rules. It only uses what is written here, your quick replies and your auto-replies, and never invents prices or dates. It powers ✨ suggested replies in the Inbox and, only when you switch it on, the AI bot on the Auto-replies page.
Send events to GHL / other apps
OffSends a small message (a webhook) to another app whenever something happens here. In GoHighLevel: Automation → Workflows → new workflow → trigger Inbound Webhook, copy its URL and paste it below. Each event carries phone, name and details like text, amount or reason.
Google Sheets sync
OffCopies new replies, opt-outs, Zenler leads and form answers into a Google Sheet automatically, so your team can work from the sheet.
- Create a blank Google Sheet.
- Click Share and add the service-account email from n8n (Credentials → Avisa (Sheets) → Service Account Email) as Editor.
- Paste the sheet link below and click Connect.
Backup
checking…Every night at 2 AM your contacts, lists, send history, chats, forms, payments and settings are copied into your Avisa Backup Google Sheet. Two copies are kept (tabs ending · A and · B), so last night’s and the night before are always there. Payment keys and staff login codes are left out on purpose.
Contacts
Everyone from your lists, broadcasts and the Inbox, in one place. Tick people to tag them, or click a name for their full history.
Contact fields
extra details you keep for each personFor example City, Program, Birthday, Joining date. They show in every chat and contact. Date fields can send a greeting every year from Automations.
Duplicate contacts
Finds the same person saved under two numbers (for example with and without the country code), and people with the same name. Merging keeps one number: tags, notes, fields and lists move onto it, both chat histories show on its profile, and a template that went to either number counts as sent to the person, so they never get it twice.
Smart segments
groups that update themselvesPick a segment on the Broadcast page. Who is in it is worked out fresh each time you send, so a segment like “got the invite, didn’t pay” is always up to date.

Payments
RazorpayRazorpay connection
When someone pays, they get the tag below automatically, so you can find them in Contacts and leave them out of sales broadcasts (“Don’t send to” on the Broadcast page).
- Razorpay Dashboard → Account & Settings → Webhooks → Add new webhook.
- Webhook URL: copy it from below.
- Make up a secret (any long password), type it there and below.
- Tick events payment.captured (and payment_link.paid if you use payment links). Save.
To let your team send payment links in chats, add your Razorpay API keys: Razorpay Dashboard → Account & Settings → API Keys → Generate key. They are stored on your server, never shown again here.

When someone taps it, WhatsApp opens with a ready message ending in a short code like (ref:igbio), so you can see here how many people came from each one.

Automations
Each rule runs once per person unless you tick “every time”. Templates are never sent twice to the same person, same as broadcasts. A plain message only goes through if they messaged you in the last 24 hours (e.g. right after a form or an ad click).

Chatbot flows
A flow is a short scripted chat: messages, buttons, questions, tags and handing over to your team. Start it with trigger words (e.g. “hi, fees”) or for every new person. If someone types something the bot doesn’t understand twice, it steps back. When anyone from your team replies in the Inbox, the bot stops for that chat.
Try it
a test chat on this page, nothing is sentSet a follow-up from any chat with ⏰ Follow-up, e.g. “Call back Friday 11 AM about the Pune batch”. At that time it pops up here and on the Inbox, and on the person’s phone if phone notifications are on (Automations page). “Mine” means follow-ups for the name in You are on the Inbox.
Everything here is read from and saved to your Google Sheet, so your team can work here or in the sheet. The amount works itself out from the fee paid and classes attended (fee − fee ÷ classes in the program × classes attended − ₹500; Ashtaang Chikitsa has 18 classes, Parkinson’s has 20). Pick the program at the top: each one has its own sheet tab, and its own WhatsApp message to the customer and the team group; fix either with Edit details if the person typed it wrong. Nothing is sent until you approve: the customer gets the “Fee Refund Approved” WhatsApp from your business number and the team group gets the transfer details, within about 2 minutes.
WhatsApp forms
A form opens inside WhatsApp: people fill it without leaving the chat, and their answers land here. Send it from the Inbox (within 24 hours of their last message), or add an Open a form button to a template and broadcast it.
Zenler programs
Each program has its own list, so Parkinson registrants never get the musculoskeletal message. To send, tick the program's list on the Broadcast page.
Import people who registered earlier
In Zenler, export the people of one program (People → filter by course/funnel → Export), type the program name, then upload the file. Repeat for each program.
Connect a Zenler funnel
Do this once for each funnel. Every new registrant then lands in that program's list automatically.
- In Zenler, open the funnel → Automation.
- Add the trigger On subscribe, then the action Send a webhook.
- Type the program name above, then paste this link as the webhook URL and save:
Each program gets its own link, so use the matching one in each funnel. If you leave the program empty, the funnel's own name is used. Registrations without a phone number are skipped, because WhatsApp needs one. The link includes a private token, so only share it inside Zenler.
